Main purpose of the position

The ISS “Speak Up" system is our global whistleblower tool for employees and third parties to anonymously raise concerns of ethics and Integrity within the ISS Group. ISS Group Internal Audit is responsible for maintaining the Speak Up System, coordinating responses to reports as well as monitoring effectiveness of compliance related policies.

 

Essential responsibilities of the role will be to ensure that a solid process is in place to respond to whistleblowers, direct cases to the appropriate Group functions and ensure cases are dealt with in a timely manner. You will act as the primary liaison between the ISS Group and reporters as well as the link to Group Functions and external third parties (including legal counsel) on Speak up Cases. You will ensure cases are handled with full confidentiality and action taken is full appropriate.

 

Further, you will support the Group Data Protection and Compliance Team on administrative tasks, including the preparation and updating of policy documents, monitoring compliance to these policies as needed and support with the data mapping tool, OneTrust.

 

As part of the role, you will provide periodic reports and information for use by the Head of Group internal Audit and key Group forums (including the ISS Audit & Risk Committee).

 

What you’ll do:

  • Daily administration of the ISS Group "Speak Up'' platform
  • Acting as primary liaison between ISS Group and whistle blowers as well as the link to Group functions and external third parties (including legal counsel) on Speak Up reports
  • Ensuring received cases are handled with full confidentiality, on a timely basis and in line with our internal protocol for managing speak up reports
  • Providing periodic reports and information for use by the Head of Group Internal Audit at key Group forums (including the ISS Audit & Risk Committee)
  • Supporting ongoing awareness initiatives to ensure the recognition of the platform across the ISS Group
  • Provide addition support to the Group Data Protection and Compliance Team in relation to policy governance, policy enforcement and data mapping as needed.

  • ISS Speak Up Manager
  • ISS Head of Group Internal Audit
  • ISS Group Data protection and Compliance Director
  • External Legal Counsel (as part of speak up system administration)
  • ISS Group and Local P&C teams
  • Other Functional and Country leads as needed, dependant on the nature of reports received

 

Key qualifications:

  • Hold a background in Administration, ideally from a recognised law firm or multinational organisation
  • Can demonstrate your ability to handle a wide range of cases, tracking their progress and ensuring they are closed
  • Have full proficiency of spoken and written English and preferably a working knowledge of additional languages

 

Personal skills you excel:

  • Effective communication skills dealing with both sensitive topics from our most venerable placemakers to collaborating and cooperating with ISS Group Functions
  • Attention to detail in ensuring all reports are handled in line with our management protocol in a timely manner and documented appropriately.
