Main purpose of the position: 

 

To our Global Finance Service Centre based in Gdańsk, we are looking for an experienced Purchasing Support Subject Matter Expert who will actively work with Nearshore, Onshore and the UK business to resolve Purchase order issues and provide support and re-education to Key Stakeholders within the PTP Section. The Team is the key facilitation and interface between the UK business units and the Nearshore activity to ensure that the FSC works in harmony with the business. They will be the escalation point for Nearshore and the ISS Business to support investigation and resolution of any issues and providing root cause analysis to support best practice going forwards.

The Purchasing Support SME will be responsible for ensuring that all queries are dealt with promptly, providing guidance to end users on policies and processes as well as supporting the Business Units with requisitions and or amending orders.

 

What will you do:  

  • Responding promptly to queries from the business received via ISS Query Portals, within service level agreements
  • Guiding end users on policies and processes, raising requisitions, resolving invoice holds and making non-procurement payments, in line with ISS PTP policies and processes
  • Directing users to the correct processes, including procurement routes for goods and services and receipting and dispute resolution
  • Taking action to investigate issues, following user guides as directed (e.g. investigate issues and/or release invoice holds)
  • Raising requisitions on behalf of the business where agreement in place
  • Re-opening of soft closed PO’s where required for additional invoice/credit processing
  • Amending existing Orders on behalf of the Business where leaver process not followed
  • Communication to and re-education of business users to drive adherence to policy
  • Timely response to all escalated items with root cause and recommendations to drive best practice
  • Support initiatives to drive greater efficiencies in procurement support processes
  • Work with the Cash & Payments and Purchasing Support Business Partner to deliver continuous improvement and support initiatives to maintain the integrity of the systems
  • Support internal and external audit requests
  • Support the review and maintenance of procedures ensuring version controls are up to date

Professional skills you possess:

  • University Degree in Finance area or Part Qualified Accounting Qualification: ACCA, ACA, CIMA is preferable
  • 2+ years of previous Purchasing/Procurement experience is essential
  • Experience in a similar role within a multi-site business or Finance Shared Service Centre is preferable
  • Experience of Coupa, Maximo or similar PTP systems desirable
  • Experience of having worked with an offshore environment (desirable)
  • Experience of working within Jira or similar ticketing systems would be advantageous but not essential
  • Forward thinking, with tenacity and good analytical and communication skills
  • Works independently and as part of a team, to tight deadlines
  • Intermediate level of IT skills (incl. Vlookups and Pivot tables)
