Maintenance Scheduler

Maintenance Scheduler/Planner

 

Key Purpose

 

The Maintenance Scheduler/Planner is responsible for planning and scheduling activities to facilitate timely and cost-effective completion of all maintenance activities. This individual develops, monitors, and updates the master schedule to ensure that the work is optimally executed and meets the program timing requirements.

 

 

Success Criteria

 

  • Track metrics, performance, and efficiency of work scheduled using spreadsheets, graphs, as well as document in report format
  • Proactively works with other plants (at the direction of Facilities Manager) to ensure predictive and preventative plans are uniform on like equipment
  • Ensure facilities are maintained to current GMP standards
  • Ensure facility statutory and regulatory compliance on the site
  • Maintains equipment repair records and warranties in compliance with company policy
  • Demonstrate outstanding organizational skills and attention to detail

 

 

Key Areas of Collaboration and Influence

 

  • Communicate and work effectively with employees, managers, and customers
  • Coordinate outside service request, establish purchase orders, ensure purchase orders are closed and manage expenses within budget requirements
  • Coordinate maintenance personnel who maintain and repair Electrical, Plumbing, HVAC, and other building systems
  • Use the account to promote and further develop ISS
  • Meet with team, managers, and customer at various locations on site
  • Coordinate daily and weekly maintenance planning meetings

 

Ideal Candidate Experience

 

  • 3-5 years of related experience
  • Ability to effectively use, at an intermediate level, PC software including Microsoft Excel®, Word®, and Access®
  • Experience using computerized maintenance management software preferred
  • Experience in a maintenance help desk environment and with work planning/scheduling preferred
  • Excellent time management skills; Able to organize and work independently
  • Bilingual is a plus

 

 

Key Accountabilities

 

  • Ensure delivery on contract promises
  • Increase customer loyalty and satisfaction through service excellence
  • Respond to customer inquiries by entering work requests into CMMS (FeildFlex), gathering information about the services needed and/or provide the requested information
  • Plan and schedule corrective work to maximize crew utilization and effectiveness
  • Use computers and associated software programs such as Word and Excel to plan maintenance activities and develop training documents
  • Perform CMMS administrative activities including documentation of assets and their attributes to ensure proper classification and management of work orders - including preventive and corrective maintenance processes
  • Support parts inventory management & spares strategy
  • Coordinate material lead time with field mechanical staff to ensure that parts are available for scheduled work
  • Manage predictive and preventive maintenance of facilities equipment and schedule required corrective actions (manage maintenance vendors)
  • Understands operations, procedures, inventory parts, LOTO, improvements, breakdown analysis, PM’s, 5S, etc.
  • Respond to calls from production immediately and assign appropriate personnel to handle the call
  • Review completed maintenance documentation (e.g., work orders, service reports) to ensure compliance with applicable standard operating procedures
  • Provide supporting data for monthly reports on shut down events\change management, productivity statistics, and departmental objectives
  • Responsible for evaluating problematic systems, equipment and facilities and determining if installation or repair service is needed to be performed
  • Schedule maintenance personnel so there is no gap in facility coverage
  • Support Preventive Maintenance (PM) program

 

Physical Demands & Work Environment

 

While most work will be in an office setting, visits to worksites will require the Maintenance Planner/ Scheduler to occasionally:

  • Work outside and subject to temperatures rarely under 32 degrees or over 100 degrees
  • Work in a noisy environment
  • Work around moving objects, vehicles, and machinery with moving parts
  • Must be able to work under pressure and time deadlines during peak periods
